Specifying search filters
The following list includes all the search filters provided for search in Knova applications. Depending on your implementation, your permissions, and the context in which you are performing the search, some filters may not be available to you.
Filters are applied to the search as follows:
- When you select multiple values for a given search filter, such as multiple Products, a document is returned if any one of the values applies.
- When you specify multiple search filters, such as a Product and a Document Type, a document is returned only if at least one of the values in each of those filters applies.
- For most filters, Documents with no value in the specified field do not match; for example, a document with no Archive Date is not returned for a search that includes a value in the Archive Date.
- For Segment filters (e.g., Product, Document Type), depending on the configuration, Documents with no value in the specified field may be returned.
- Segment Filters may return documents assigned to the selected Segment's parents and/or children, depending on the configuration.

Access Level | Limits the search to documents that are visible to any of the specified Access Levels. |
Archive Date | Limits the search to documents whose archive dates fall within the specified date range. |
Author | Limits the search to documents where the entered string matches the user assigned as the Author. A document is returned if all words in the entered search string have a case–insensitive match to the document's Author user fields (User Name, First Name, or Last Name). |
Community | Limits the search to threads in the specified Community or Community category. |
Content Supervisor | Limits the search to documents where the entered string matches the user assigned as the specified Content Supervisor. A document is returned if all words in the entered search string have a case–insensitive match to the document's Content Manager user fields (User Name, First Name, or Last Name). |
Create Date | Limits the search to documents that were created within the specified date range. |
Creator | Limits the search to documents where the entered string matched the document's creator. A document is returned if all words in the entered search string have a case–insensitive match to the document's Creator user fields (User Name, First Name, or Last Name). |
Documents to Search | Limits the search to documents from the specified sources: authored documents, Knowledge Source Manager documents and Community threads. |
Feedback Rating | Limits the search to documents where the rating is in the specified range. |
Language | Limits the search to documents in the specified language. |
Last Feedback Date | Limits the search to documents for which user feedback was last submitted within the specified date range. |
Last Modified Date | Limits the search to documents that were last modified within the specified date range. This property is updated any time a change is made to a document's properties. |
Last Used Date | Limits the search to documents that were last used within the specified date range. Last used date is the date when the document was added to a case or rated high. |
Link Count | Limits the search to documents whose Link Count falls within the specified range. The Link Count is the number of times a document has been linked to other documents. |
Maximum Results | Limits the search results to the specified number of documents. |
Owner | Limits the search results to documents where the entered string matched the document's owner. A document is returned if all words in the entered search string have a case–insensitive match to the document's Owner user fields (User Name, First Name, or Last Name). Note that published documents are not returned when this option is used. |
Publication Status | Limits the search to documents with the specified publication status:

Published | Limits the search to documents that were published within the specified date range. This option is disabled if you are searching only for draft documents. |
Review Date | Limits the search to documents whose review dates fall within the specified date range. |
Search In | Searches in one of the following ways for the text entered in the Search box:

Segments | Limits the search to documents associated with any of the specified Segments, such as Document Types or Products. |
Show focus choices? | Allows you to show or hide Navigation Choices that help you refine your search. |
Solution Count | Limits the search to documents whose Solution Count falls within the specified range. The Solution Count is the number of times a document was saved as a solution using Resolution Workbench. |
Unified Template | Limits the search to documents that are assigned any of the specified Templates. |
View Count | Limits the search to documents whose View Count falls within the specified range. The View Count is the number of times a document was accessed by any user. |
Workflow State | Limits the search to documents that are currently in the specified Workflow State, except for Suggestion/Start, Publish, and Out for Translation states. |
The following guidelines may help you select the options that you want to use for Guided Search or Advanced Search:
- Search options that are displayed as drop–down lists can be configured to allow either single or multiple selections. If multiple selections are allowed, hold down the CTRL key while clicking each selection with your mouse, or hold down the SHIFT key while clicking the first and last selections in a range of consecutive items.
- Search options that include Segments can be configured to allow you to browse or search for individual selections. If a large number of selections are available, click Select to open a new window to browse or search for the items you want to select as search criteria.
- For search options that include names (Author, Content Manager, Owner, and Creator), the text you enter must match the first name, last name, or user name exactly. Partial names are not considered as matches. You can enter a maximum of 255 characters as search text; the comparison is not case–sensitive.
- If a user's first or last name has been changed in the User Profile and you search by either first or last name, documents for that user may not be returned by the search.
- For search options that include date ranges, such as Create Date, you can specify either a date range or a time period, depending on how the search option is configured.
